01Who we are
Tradelynz is operated by Tradelynz Technologies Ltd. We decide how and why the personal data described in this policy is used, which makes us its controller.
This policy applies to our website, our business platform and the services on it. We handle personal data in line with Ghana's Data Protection Act, 2012 (Act 843).
02The information we collect
- When you create an account: your name, work email address and password. We store only a protected form of your password, never the password itself.
- When you verify your business: its registration details, address and ownership, and the documents you upload, such as your registration certificate, proof of address and shareholder register.
- When owners and directors verify their identity: their name, date of birth, nationality, identity document and a photo taken at the time, collected through our identity verification partner.
- When you use the platform: the quotes, payments, orders, shipments and documents you create, and the details of the people you invite to your team.
- When you contact us: your name, email address, company and what you tell us.
- When you visit or sign in: technical details such as your IP address, browser and when you signed in, which we use to keep your account secure.
03How we use it

- To verify your business and the people behind it, and to meet our anti-money laundering and sanctions obligations.
- To keep the platform secure, prevent fraud and keep a record of important actions.
- To reply to your enquiries and send you messages about your account.
- To understand how Tradelynz is used and make it better.
We use personal data only when we have a lawful reason to: to provide the services your business has signed up for, to meet our legal obligations, for our legitimate interest in running a secure service, or with your consent. We do not sell personal data.
05How we protect it
Sensitive details and every document you upload are encrypted before they are stored. Access is denied by default and given only to the people who need it, every view of a verification document is recorded, and our staff sign in with a second factor.
How we keep Tradelynz secure06How long we keep it
We keep your data while your account is open. After it closes, we keep the verification and transaction records the law requires us to keep, for as long as it requires, and then delete them.
If you contact us through the website and do not open an account, we keep your message only as long as we need it to reply to you.
07Where your data is stored
Some of our service providers store or process data outside Ghana. When they do, we make sure your data stays protected to the standard this policy describes.
08Your rights
You can ask us to:
- Give you a copy of the personal data we hold about you.
- Correct anything that is wrong or incomplete.
- Delete your data, where the law does not require us to keep it.
